The Role & Our Ideal Candidate
We’re currently seeking a talented and self-motivated individual to join our business as Administration Assistant Apprentice at our Inside Track Driven Moves Team based in Alconbury. You must have the ambition to succeed, the ability to work as part of a team and as an individual. The role will include the following tasks:
• Process Driver expense forms including Tolls • Input expense’s into internal Finance system - raising invoices • Answer driver and account queries over the phone and assist management where required • Driver debriefing - including queries • Preparation of KPIs - including Finance reports • Support Communication and Engagement Agenda, which includes Annual Employee Opinion Survey – including minutes of meetings • Ordering of uniforms
Key skills and experience in this role will include:
Ability to follow work procedures and safety rules (Essential) Ability to read and follow directions/instructions (Essential) Ability to work and perform under pressure and cope with sudden peaks (Essential) A Full UK Driving Licence (Desirable)
Apprenticeship qualification: During the 15 month apprenticeship, you will work to achieve a Level 3 Business Administration Standard Apprenticeship qualification; this will include the following:-
• Exercises proactivity and good judgement. • Use of Multiple IT packages relevant to the organisation in order to: write letters or emails, create minutes of meetings, record and analyse data. Store and Retrieve Information • Demonstrates agility and confidence in communications, carrying authority appropriately. • Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues. • Manage Personal and Professional Development • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. • Knows organisational structure and demonstrates understanding of how their work benefits the organisation. Knows how they fit within their team • Understands relevant external factors e.g. market forces, policy & regulatory changes, supply chain etc. and the wider business impact). • Has a practical knowledge of managing stakeholders and their differing relationships to an organisation. This includes internal and external customers, clients and/or suppliers. • Understands laws and regulations that apply to their role including data protection, health & safety, compliance etc. Supports the company in applying the regulations. • Uses relevant project management principles and tools to scope, plan, monitor and report. • Understands organisational purpose, activities, aims, values, vision for the future, resources and the way that the political/economic environment affects the organisation.
You will be allocated a Mentor and a Learner Manager from The Apprenticeship Training Provider, who will be a subject matter expert in the field of the Apprenticeship you will be undertaking, they will ensure that during the 15 months you will be given the support and assistance you will need to ensure you achieve your Apprenticeship Qualification.
