What is the purpose of this role?
The role includes a broad scope of Procurement Strategic sourcing responsibilities under ‘One Procurement’ including all businesses (i.e. Vx,Px,CHx,ViiV) with a spend of £500m and a sourcing team responsible for Travel (MSP, Air, Hotels), Meetings, and Payment Solutions. In this exciting new role, you will also have responsibility for GSK Travel & Expenses Operations including Global process ownership and Policy, duty of care and risk assessments for travellers. Close monitoring and analytics of Travel & Expenses spend is required to ensure leakage (in close partnership with Global Ethics and Compliance), working in partnership with Finance (CFO’s) to provide reports for traveller behaviour (to control spend and manage Demand in line with industry benchmarks).
Strong supplier governance must be established at CEO level with global business travel program supplier and cards program supplier and to ensure high quality of service to GSK.
What are the key role responsibilities?
You will maintain and enhance procurement and travel processes, tools, and policies in conjunction with client stakeholders and GSK leadership to ensure control and management of GSK spend, establishing effective KPI’s to ensure effective control of Travel Spend and drive increased adoption of e-booking and ‘Concur’ T&E apps and utilization across the enterprise
You will manage Travel Operations & Sourcing, Meetings, Events and the Corporate Card programs including adherence to established KPIs, process optimization, and end-user support, T&E GSK website and online engagement
Manage T&E relationships and service delivery of ‘E’ with FS team and internal stakeholders (e.g. Tech team)
Liaise with Global Ethics and Compliance to ensure risk management and duty of care
Manage Sourcing Strategy (and Category team) to ensure structured competitive bidding events with all Travel, Air, Hotel suppliers including spot buys, RFQs, reverse auctions and RFPs
Facilitate executive level forums (CEO level in supplier org) to manage third party supplier performance in line with established KPI’s. Takes corrective actions on performance trends. Manages developments, enhancements and innovations with Travel provider
Drive cost savings and efficiencies across all business units (utilising Supplier consultancy recommendations). Drives ongoing review and improvement of sourcing, highlighting synergy and leverage opportunities.
Works in collaboration with Meetings COE to drive better compliance, process optimization, reporting
Global Process Owner:
Lead the vision and define the roadmap for T&E to drive business benefit, continuous improvement and ease of process use for the end user. Define how GSK will move from the current state to the desired future state (for the process in scope)
Define and refine the solution to manage standard policies & procedures, controls, key performance indicators (KPIs), system roles:
• Manage prioritisation and support delivery by Setting up and running governance mechanisms at tactical and strategic levels (i.e., aligning global process operations and systems designs, investment decisions and risk management prioritisation)
• Identifying and managing process risks operations’
Embed and grow organisational capability by owning and ensuring training material, process documentation (e.g., GSOPs) and other supporting material (e.g., end user self help content) are developed and maintained
Assessing end user feedback in order to identify systemic issues
Defining the capability (both technical and behavioural) required to operate a world class business process and work with partners within GSK to develop strategies to build the required capability
Optimise extraction of solution value by:
Monitoring operational efficiency and effectiveness KPIs (baseline and targets) – partnering with business and operational teams to take corrective action, as required
Assessing process adoption and process adherence / compliance – triggering appropriate interventions, as required
Operating a continuous improvement cycle (i.e.monitor, improve, monitor, adjust)
Verifying that business case benefits are realised for any process related improvements
